How Small Clubs Can Give Sponsors Real Visibility on Social Media

A treasurer-friendly guide to sponsor posts: a fixed sponsor zone, honest placement counts and a season recap that makes renewal easier.

Sponsors of amateur clubs are usually local: a garage, a physiotherapy practice, an insurance agent, a parent's company. They want to see their name next to the club's, and when renewal comes around they want something concrete to look at. This guide is for the treasurer or board member who has to deliver that, with social posts that are consistent and numbers that hold up.

What a club sponsor is paying for

For a small local sponsor, the money usually buys three things. Association with a club people like, goodwill from members and parents, and visibility. Social posts can carry all three, but only visibility can be counted, so that's where a club can be precise.

Visibility on social media comes from repetition. A single thank-you post at the start of the season gets seen once. A logo that sits in the same place on every result, every week, becomes part of how followers recognize the club's posts, and the sponsor sees it every time they open the club's profile.

Build a fixed sponsor zone

Decide where sponsors appear on your graphics and keep them there all season.

  • One zone, same position on every card. Usually a band along the bottom edge, well clear of the score and the crests.
  • Tiered by contract. The main sponsor appears on every team card. Smaller partners can rotate, as long as you can show each one got the share you agreed.
  • Readable at phone size. Around four logos in one band is the practical limit before they turn into specks. If you have twelve partners, rotate them or give them a season card of their own.
  • A version for dark backgrounds. Ask every sponsor for a vector logo (SVG or EPS) that works on a dark ground. Result cards often use dark backgrounds, and a logo with a white box around it looks pasted on.

Keep sponsors off the score itself. A logo overlapping the result annoys followers, and the sponsor gains nothing from being the thing in the way.

Count placements, honestly

A placement is one sponsor logo on one published graphic. If the main sponsor appears on the 4:5 result card in the feed and on the 9:16 version in stories, that's two placements. It's a simple unit, and it has the advantage of being true.

What you leave out of the log matters as much as what goes in. Don't multiply placements by your follower count and call it reach. Don't quote impressions you estimated. If you want to share performance figures, take them from Instagram's own insights for specific posts, label them as such and note the date you pulled them.

The reason is practical. Small business owners in the same town talk to each other, and a sponsor who finds out the numbers were inflated won't renew. Placement counts are modest, and they're also impossible to argue with.

Turn the log into a season recap

The season recap is the document you bring to the renewal conversation. Keep it to one or two pages and send it ahead of the meeting. It should include the following.

  • Total placements for that sponsor, split by card type and channel.
  • Three or four example graphics showing their logo in use.
  • Games played and teams supported, including youth teams if the sponsorship covers them.
  • Anything offline, such as pool banners, kit, tournament programs and club events. Photos help.
  • Next season's schedule, with the biggest home games marked.
  • A short, specific thank-you signed by the president or head coach.

Timing matters more than polish. Ask each sponsor when they plan next year's budget and send the recap a few weeks before that. A recap that arrives after the budget is set is a nice gesture with nothing riding on it.

The recap also makes the next conversation easier for whoever replaces you. Club treasurers change, and a folder of season recaps tells the next one exactly what each sponsor was promised and what they got.

Do's and don'ts for sponsor posts

Do

  • Agree in writing on how the logo will be used, once, at the start of the season.
  • Tag sponsors in captions when they have an Instagram account, so they can reshare easily.
  • Show the sponsor zone on losses as well as wins. Sponsors back the whole season.
  • Thank sponsors by name at the end of the season and at home events.
  • Give the main sponsor first refusal on new formats, such as a youth tournament card or a season review.

Don't

  • Promise reach, impressions or follower growth in a sponsorship agreement.
  • Stretch, recolor or crop a sponsor's logo to make it fit.
  • Put sponsor logos on youth player portraits without checking the club's policy and the parents' consent.
  • Run a separate "thank you to our sponsor" post every week. Those get scrolled past, and placement on real match content does more.
